A Guide to Creating Your Wedding Guest List

Once engaged, the excitement starts to build and most couples eagerly anticipate the day they get to say “I do” in front of their friends and family. But curating the guest list can be challenging — deciding who should and shouldn’t be invited can be an emotionally draining experience.

If this resonates with you, don’t worry! With careful planning and the right approach, you’ll be able to create a wedding guest list that includes all of your favorite people in the world. 

Here are some valuable tips that will make the process a whole lot easier for you!

1. Estimate your headcount.

Some couples make the mistake of looking at possible wedding venues without having a rough idea of how many guests they plan to invite. Often, they end up having to cut some names from the list in order to fit the number of guests into their chosen venue. Doing so may lead to some of your would-be guests harboring resentment.

Save yourself from unnecessary stress by deciding whether you want an intimate celebration or a grand affair before shopping for venues. This way, you don’t have to risk limiting the number of guests who’ll be attending your wedding.

2. Be mindful of your budget.

It’s also a good idea to inform your guests of the number of seats you have reserved for their party or group. 

Granting plus-ones to your guests is also up to you. When deciding whether or not to allow a guest to have a plus-one, consider the following: Have you met your guest’s date? How long has your guest known their plus-one? What is the nature of their relationship? Yes, this last one might seem a bit nosy, but it’s your wedding and you have the right to know who will attend. After all, you don’t want any unnecessary drama to unfold on your big day.

5. Remain organized.

A spreadsheet is an invaluable tool for keeping track of your guests. You’ll want to keep everyone’s names, phone numbers, addresses, and other crucial information in one accessible place.

In your spreadsheet, consider color-coding your guests or adding columns to determine whether they have already RSVPed. You can also have a section to indicate the guests’ preferred meal, which you can easily relay to the caterer. It also helps to add a column to note any gifts that you receive, making it simple to send thank-you notes after the wedding.

Be mindful that bands typically take up much more room than a DJ (don’t forget about staging and sound equipment!), so keep your venue’s measurements close as you research and create your entertainment plan.

Decide on seating arrangements.

Consider how you want to sit with your partner, as well as how you plan to seat your guests. If you want a head table with your whole wedding party, your floor plan will look different than if you opt for a two-person sweetheart table. The same goes for seating guests at banquet tables vs. round tables. In your seating plan, use the dance floor as the focal point as that’s where the action happens. Do your best to ensure all guests in the room have a good sightline of the dance floor.

Be mindful of COVID guidelines.

Last but certainly not least, keep COVID safety in mind as you prepare your floor plan. Adhere to proper social distancing guidelines to ensure your guests feel safe and comfortable. Identify the high traffic areas—like service routes and bars—and be sure to allow for plenty of space. Consider seating guests in household “pods” with a greater number of smaller tables. Be sure to work alongside your venue coordinator to ensure it will work in their space.

Tipping Etiquette for Wedding Vendors

When planning your big day, it’s easy to get lost in the madness and forget about tipping your wedding vendors. But it’s so important to be respectful of their time and efforts, so it’s best to include gratuity in your wedding budget!

Although tipping is not required, some vendors may expect it — and likely deserve it. It is a great way to thank them for their superb service bringing your wedding day to life!

Tipping Etiquette 101

Here’s a breakdown of gratuity to include for each wedding vendor.

Officiant

Many ordained clergy members won’t accept cash tips for officiating wedding ceremonies. However, a donation to their church or religious institution is greatly appreciated. For a non-religious officiant, you can give them around $50.  

Photographer and videographer

A lot of these vendors are business owners themselves, so tipping is often unnecessary. But if you’re incredibly happy with their work, feel free to give a generous tip of up to $100 (or more if you’re that satisfied!). If they have assistants or second-shooters, you can tip them anywhere from $50 to $75.

Caterer and waitstaff

While a service fee is often stipulated in your contract, this amount is typically divided amongst all the waitstaff. It’s a kind gesture to give them $10 to $20 each for their hard work. If bartending services aren’t part of your caterer’s package, tip 10% to 15% of the pre-tax bar bill.  

Hair and Makeup Artists

Just as you would for a regular hair or makeup appointment, tip makeup artists and hairstylists 20% of the total bill.

Musicians and DJs

A tip between $25 and $50 per person is customary. And, if you book a band, remember to tip their sound technician as well!

Driver, Valet, Restroom, and Coat Check Attendants

If gratuity is not yet included in your transportation bill, tip your driver 15-20% of the total cost. For valet attendants, express your gratitude by tipping $1-2 per car, to be divided among them. And for the total amount to be allocated for your restroom and coat check attendants, multiply the number of guests by $0.50 to $2.  

Wedding planner and florist

Since these vendors are typically business owners, they won’t be expecting a tip from you. If you are feeling generous, feel free to tip your wedding planner 10-20% of the total bill, or up to $500. Your florist may be tipped 10-15% of your total bill. If you prefer, you can also give them personal gifts instead.

Delivery Personnel

On your wedding day, you can expect a lot of deliveries—from your rentals to your wedding cake and flowers. Leave cash envelopes containing $5 to $10 to your coordinator or catering manager to hand out to delivery personnel.

 

Keep in mind that these numbers are only meant to serve as a guide. Ultimately, you should tip according to what your budget permits and the level of service you’ve received.

Balancing Wedding Planning with Life’s Demands

You’re engaged! Congrats! Soak it in because it just got real — yes, the wedding planning just got real. We get the pressures and demands that planning a wedding requires. We also understand that juggling a career while planning said wedding can be extra stressful. From touring venues, visiting wedding expos, attending food and cake tastings, and then responding to endless work emails — is 24 hours in a day enough?  

Now, the objective is not to scare you but to help you. We have compiled a few tips that’ll kick off the wedding planning journey!

Keep work and wedding planning completely separate.

Don’t try to work on wedding stuff while you are in the office. Consider this a rule of thumb. We get it; it’s just an email here, a quick Google search there, but like all things: wedding planning deserves your undivided attention the same way your career does. 

Consider using your lunchtime to tackle those small tasks like sending that email to your potential vendor. You don’t want to send the wrong email to the incorrect person (or distro list — yikes!).  You also want to avoid forgetting to read the fine print because you skimmed through a contract while juggling other work matters.

For an effective time management strategy, try block scheduling. Set certain days for specific tasks. Tuesdays can be for research, Thursday evenings for DIY projects, and Saturdays for shopping! However you choose to slice and dice it, be intentional with your focus. Balance and strategy are key!

Ask for help!

Nobody wants to feel like a bother, but real talk: Planning a wedding is hard work!  Delegate small tasks to those that offer to help. Perhaps your bridal party can assist with sending out or tracking RSVPs or help with the party favors. Get your partner involved, too! 

If help is proposed, do not be afraid to take the person up on their offer. And if nobody is quick to raise their hand, kindly asking for help will do you no harm. Also, don’t forget about those couple friends who have hosted a wedding before. They have lots of advice!  Don’t reinvent the wheel; modify it to fit your use!  

Don’t forget to rest.

We know, there is so much to do, and setting aside evenings for wedding planning just doesn’t seem like enough time. But, rest is important! Burnout can be detrimental to your career and it can suck the fun right out of wedding planning. 

Take breaks. Go on date nights. Be intentional about being present with your partner. Explore new music together.  Plan a weekend getaway. Your livelihood should not revolve around wedding planning but around the love you two share!

Planning a wedding while maintaining professional poise can feel burdensome and like a juggling act, but it doesn’t have to be! Plan for the unforeseen and receive it as gracefully as possible. If your budget allows it, hire a wedding planner! Let them take all that responsibility off your plate. Enjoy your engagement and know that what is waiting for you on the other side of your wedding finish line is the beginning of your new forever!

On your wedding day, the last thing you want to do is stress! Hiring a professional coordinator can be the solution to your worries, but engaged couples often question – do they need a coordinator? Read on for questions to ask yourself to determine if it’s the right fit for you!

Are you an organized, Type-A person? Or do you prefer to let things flow?
There are a lot of moving pieces when it comes to planning a wedding. From guest lists to budget spreadsheets, wedding planning is a project for those who are especially detail-oriented and need to have control over every little aspect of their big day. Those who prefer to let things flow and take it easy would do well to bring on a professional to ensure that things fall into place as they should.

Do you value the opinion of a professional?
Even if you’re the most organized person you know, planning your wedding is not your full-time job. Event coordinators plan weddings for a living and are well versed in the little things that come together for the perfect celebration. A coordinator can help you navigate the vendor research process, as well as help to coordinate your wedding team and manage contracts and invoices. As a professional, they will have connections in the industry and will be able to provide you with educated opinions and referrals which can be invaluable throughout the planning process.

Will you be busy on your wedding day?
Well, that’s an easy one – of course you will be! You’ll be overwhelmed with love and emotions and you’ll want to spend your time with friends and family, not ensuring that the cake has been dropped off and the florist has placed all of her arrangements in the right place. If a full wedding coordinator isn’t in your budget (or you’d prefer the DIY route), we highly recommend all couples to hire a day-of coordinator to handle the last-minute logistics. Trust us, you won’t regret it.

When you first get engaged, it can seem like your wedding is so far away. However, as you start to knock out task after task, time starts to fly and it can feel like wedding planning is consuming. Rather than let your to-dos stress you out, here are some tips for managing your time wisely and ensuring everything gets done.

Dedicate time to planning
That’s right – grab your schedule and block out times of the day for wedding planning. That means that at any other time, weddings should not be on your mind! It’s easy to burn out if it’s all you are thinking about, so be sure to make time for date nights, social outings and other hobbies.

Ask for help
Planning your wedding will take ten times longer if you have to singlehandedly plan everything and put together every program, favor, and other decor pieces. Don’t be afraid to ask your wedding party members and your family for help – sharing the responsibilities means splitting the time!

Hire a professional
At a certain point, the time and money you spend on an aspect of the wedding are worth outsourcing it to a professional. Did you dream of DIYing your own wedding flowers? Perhaps. But, do you need to spend the several days before your wedding receiving, storing, arranging and placing all of your bouquets and centerpieces so they stay fresh for the event itself? Probably not.

Use an app
There are so many programs out there to help you with wedding planning – are you taking advantage of them? From your standard checklist to floor plans to guest lists, it’s worth trying out some of the top wedding planning apps to see which can streamline your journey to ‘I do.’

Planning your wedding doesn’t need to be a headache and it certainly doesn’t need to take up all of your waking hours! Set priorities, get them done and don’t spend any extra time worrying about what still needs to be finished. Know that everything will come out perfectly on your Big Day!

How To: Organize your Wedding Checklist

Six months ahead of the wedding, most soon-to-be brides and grooms are starting to get the pre-wedding jitters. The reality that the big day is quickly approaching starts to set in, making the last leg of wedding planning a bit stressful. However, being proactive early on in the planning process is the best way to make the last six months before the wedding day less overwhelming. At the six-month mark, it’s important to sit down with your partner to ensure that certain things are checked of your wedding to-do list. Not sure what you should be crossing off? We’ve compiled a list to help you get started!

The Caterer:
A reception is not complete until you have the cocktail and/or dinner menu squared away. Therefore, you will want to avoid dropping the ball when it comes to securing a caterer. If your reception venue does not include a catering option, hiring an outside caterer early on in the wedding planning process will allow you to thoroughly sort through your options and nab your top pick. Research each caterers’ background and don’t be afraid to request referrals from their past clients. Remember that your job is not complete once you book the caterer. You will need ample time to craft, taste and finalize the menu.

The Honeymoon:
Be kind to your pockets and scratch the honeymoon getaway off of your checklist way ahead of your six-month wedding check-up. Give yourself at least a year to book flights and make hotel reservations. If the idea of planning an extravagant honeymoon on your own seems too overwhelming, work with a travel agency to find your dream destination at a great price.

High-quality wedding photographers are hot commodities, thus waiting until the last minute to book them is an absolute no-no. As a general rule of thumb, set the date and then set out on the hunt for a photographer. Most wedding photographers book a year or more in advance, which means you will have to move quickly!

The DJ:
The top DJs in your area will most likely be off the market six months before your wedding date. Avoid a lackluster reception by booking your DJ anywhere between a year to nine months in advance. Give yourself enough time to get a feel for multiple DJs and their styles as opposed to rushing to book the first available DJ weeks before the wedding.

How To: NOT Be a Bridezilla/Groomzilla

Let’s admit it – sometimes wedding planning can get a little bit out of hand. Of course, it is your day and you should have full control over the planning process, but that does not mean that you should let yourself spiral out of control! Weddings are for bringing family and friends together, not for alienating those around you. That being said, would your perfectly planned wedding be worth it if it meant hurting some of your closest friends or family? Here’s how to keep your cool without becoming a wedding nightmare (and let’s face it – this affects both brides and grooms!)…

Take Yourself Out
Is your future mother-in-law giving you a headache? Or is it your maid of honor who is speaking her mind a bit too much? Whatever the situation, the first thing you want to do is remove yourself from the situation. The last thing a stressful situation needs is anxiety! Take a breather, spoil yourself to a latte, or treat yourself to a mani/pedi – whatever it takes to diffuse your nerves and come back down to your rational self. Think the situation through – is it really a big deal? If it’s not, brush it off and go about your day. Your mind will thank you! If it’s still a major deal, continue reading…

Talk it Out (Calmly!)
Now that you’ve had your solo time to think things through, it’s time to face the problem head-on. This does NOT mean barging in on your fiancé, yelling that there is no possible way to fit in his long-lost great-aunt. This means sitting down with the offending party and really getting down to the problem. Say your piece, but listen to the counter-argument as well. Stay calm and, if you start to hear your voice rise, make the conscious effort to bring it back down. If all goes well, you will reach a compromise that satisfies both parties, but if it still doesn’t play out that way, at least you know that you handled it in a rational way rather than losing your head.

Think of the Wedding
If you’re arguing with your spouse-to-be, consider if it’s worth fighting over the day that unites the two of you as a couple. Our bet is that the love and commitment you feel for each other outweighs any disagreement you may find on the way. You’re supposed to have fun with the process! If it’s another member of the wedding party that’s making your head spin, remember that your wedding is YOUR day. You should do things in a way that will make you happy, but do consider the importance of that person being a part of your big day. Chances are you’ll care more about your sister being by your side than the fact that she isn’t wearing the dress you picked out, but you can always reserve the right to have your wedding the way you want it – drama-free (thinking about any long-term repercussions, of course!).

At the end of the day, it’s really about preventing yourself from getting overly stressed on the journey to your wedding day. Nobody likes a control freak and we’ve all heard those stories of monster bridezillas/groomzillas – trust us when we say it’s just not worth it!

How To: Let’s Talk Budget

So, it’s time for the budget talk… While it’s not the most romantic part of planning your wedding, it is one of the most important steps that you and your partner will take together. It is imperative that the two of you take the time to sit down early in the process to ensure that everyone is on the same page when it comes to financing your big day.

Before divvying up the budget, you’ll want to determine who is contributing to your wedding. Gone are the traditional days of the bride’s parents covering the costs – trends show that couples are contributing significantly, as well as other family members.

After determining the sources of your funds, you’ll want to discuss what you value the most on the big day – we like to suggest coming up with a list of top 3 “Must-Haves”. This is one of the most essential parts of your budget discussion, so be sure to agree on some common ground when it comes to your financing (perhaps the cigar bar isn’t a requirement!).

Most likely, you’ll be finding a number of sample budget templates online which will tell you how much to spend in what departments. However, at the end of the day, it’s really up to you to decide where your money is spent! It may help to create a spreadsheet or budget template to keep track of your expenses throughout the process.

Once all is discussed and settled, it’s time to get organized. You’ll want to start by researching vendors in each category of your wedding plan to get a better idea of what you can get for your price points. When doing your research, it’s imperative to give wedding professionals all relevant information—preferred date, number of anticipated guests, etc.—so they can provide you with an accurate quote for your records.

One last note about budgeting – it can be easy to overlook some of the “extra” costs associated with your wedding, so keep the little things in mind as well – postage for invitations, transportation for the two of you after the wedding, gratuity for vendors, gifts for your wedding party, etc. Planning in advance is always key for a smooth and seamless process!
